Fleet OS vs spreadsheets
Spreadsheets are a useful starting point. The break comes when a delivery fleet has enough hubs, shifts, vehicles and repairs that the current truth lives in several files at once.
RideControl fleet OS
One operating record for vehicles, people and hubs.
The operating difference
| Workflow | Spreadsheets | RideControl |
|---|---|---|
| Live fleet | Updated when someone remembers | Control Tower shows current status and alerts |
| Repairs | Notes, chats and a separate list | Service Flow kanban with vehicle history |
| Location | Manual last-known address | Zones, exits, courier and vehicle in one event |
| People | Shared files and informal access | Roles scoped to countries, hubs and clients |
| Assets | Counts between stocktakes | Battery, charger and rack register with swaps |
| Reporting | Manual joins and formulas | BI by vehicle, hub, group and country |
| Connections | Copy and paste | CSV, REST API and event webhooks |
What changes day to day
RideControl does not replace the operator's judgement. It puts the current record where the decision happens: dispatch sees the alert, mechanics see the queue, hub leads see availability, and finance sees cost per vehicle. The same vehicle record follows the operation from trip to service to invoice.
- One live vehicle record instead of several versions.
- Operational events carry a timestamp and the people involved.
- A group tree replaces repeated filtering and fragile formulas.
- Exports remain available when a team needs its own analysis.
A sensible migration
Step 1
Start with the fleet
Send the vehicle CSV and define the country and hub structure.
Step 2
Add service history
Import current service history so mechanics do not lose the past.
Step 3
Run both records briefly
Keep the spreadsheet read-only for a few weeks while the team adopts the panel.
Step 4
Connect the next system
Use CSV first, then the API or webhooks when the workflow is stable.
When a spreadsheet is still enough
A small fleet in one place with one operator and no live telemetry may not need a full operating system yet. The useful question is not file size; it is whether several people need the same live vehicle, service and access record at once.
